System Reasons

Whenever changes to system records are made, the system can be configured so that a reason for the change has to be entered or selected from a list of reasons. This section of the Configuration Module manual explains how to create the predefined reasons that can be selected.
To enforce the use of these reasons, when making changes, is done using the Audit tag options that are available when selecting Security from the Setup, Server Options dropdown menu.

Viewing System Reasons
To view all the system Reasons, proceed as follows:
  1. Select the *Reasons*option from the *Setup*dropdown menu. The Browse Reasons window will be displayed.

    The options available from this window are:
  1. Reasons List. This is a list of all available Reasons and provides the Code and Description of the Reason.
  2. Send To button. Used to send the list of Reasons to a printer, save it as a file or email it to a recipient.
  3. Add button. This button is used to add a new Reason to the list.
  4. Change button. This button is used to change a selected and highlighted Reason in the list.
  5. Remove button. This button is used to remove a selected and highlighted Reason from the list.
Adding a Reason
To add a new Reason to the list, proceed as follows:
  1. When the Browse the Reasons File window is displayed, select the *Add*button. The Update Reason window will be displayed.

  2. Enter a *Code*that will be used to identify the particular Reason. This is a numerical code and can be up to 3 digits long.
  3. Select the *Type*of Reason that is being added. When the particular type of change is done within the system, the reasons that are classified to that particular type of change will be listed from the Reason select menu.
  4. Type in a short *Description*of the Reason.
  5. Click on the *Ok*button to save the reason and to add it to the list.
Changing a Reason
To change an existing Reason in the list, proceed as follows:
  1. When the Browse Reasons window is displayed, select and highlight the Reason to be changed and then click on the *Change*button. The Update Reason window will be displayed.
  2. Make the necessary changes and then click on the *Ok*button to save the changes.
Remove a Reason
To remove an existing Reason from the list, proceed as follows:
  1. When the Browse Reasons window is displayed, select and highlight the Reason to be removed and then click on the *Remove*button.
  2. When the delete confirmation window is displayed click on the *Yes*button to remove the selected Reason.
