Configure Visitor Management Features
  1. Open a browser window and enter https://visitors.eco-time.com. The page below will appear. Select the login option on the top right (the image of the key).

  2. Login into the Visitor Management Setup options by entering the default login and password supplied to you by Eco Time.

  3. After a successful login, you will have access to the setup options as shown below.

    1. Select Settings to setup the company and email settings.
    2. Select the General Tab to setup company settings.

      1. Company Name: The name entered here will be visible on the kiosk and management system page header.
      2. Setup Login: Login required to configure and setup VMS using the web interface.
      3. Setup Password: Password required to configure and setup VMS using the web interface.
      4. Visitors Video: The filename of the video (in avi format) used for the visitor's induction.
      5. Contractors Video: The filename of the video (in avi format) used for the contractor's induction.
      6. Photo's Folder: The sub folder name (of web folder) in which the visitor's photos will be stored.
      7. Auto Visitors Out Time: Set the visitor out at this time, if the visitor has not clocked out.
      8. Last Auto Visitor Out Date: Last date the rule above was enforced.
      9. Theme: Select the most appropriate theme for the company or the customised theme added to the themes folder of the VMS Server.
      10. Click on Save to save the data and return to the previous page.
    3. Select the Email Tab to setup email settings.

      1. Organization: Name required by the email smtp server.
      2. Sender: The email address the kiosk notification emails orginate from.
      3. SMTP User: SMTP Users used to authenticate when your email client connects to the SMTP servers.
      4. SMTP Password: SMTP password used to authenticate when your email client connects to SMTP servers
      5. SMTP Server: The IP address or dns name for the selected email smtp server.
      6. SMTP Port: The smtps port for the selected email smtp server.
      7. Click on Save to save the data and return to the previous page.
    4. Configure VMS features by selecting the features button.

      1. Site Disclaimer: This enables the requirement for the visitor to acknowledge the site disclaimer during sign in.
      2. Allows Employees to clock: This option enables the Employee button on the sign-in wizard, allowing employees to clock in for time and attendance.
      3. Enable Photo Captures: This option enables the system to capture a photo of visitors when they sign in.
      4. Contractor SHEQ: This requires the visitor / visitors company to have attended the relevant course, and it was confirmed with a current SHEQ expiry date.
      5. Induction: This enables the requirement for the visitor to acknowledge that they have attended the required induction.
      6. USB Prox: Enable the tag reader at this workstation for visitors to clock in and out. The usb reader requires additional setup.
      7. Parking Options: This enables the visitor to indicate where their vehicle has been parked.
      8. Visitors Guests: This enables the visitor to sign in on behalf of a group of visitors.
      9. Equipment Declaration: This enables the visitor to declare what equipment they are bringing with them (for example notebooks).
    5. Configure VMS visitor reasons and parking areas by selecting the respective tabs.

      1. Visit Reasons: Select buttons with the visit reason description by be available in the sign in wizard page if this feature is enabled.
      2. Parking Areas: Select buttons with the parking area description by be available in the sign in wizard page if this feature is enabled.
      3. Allow other reason or parking areas: This option(s) enables a free form entry field on the sign in wizard, allowing for a discretionary to be entered during sign in.
    6. Configure VMS Visitor fields.

      1. The fields on this tab can either be hidden, optional or required (depending on the setting selected above) for the visitor to enter during sign in.
    7. Set Translations by selecting the translations button.
      1. The translations form page allows the user to change the corresponding text in the Sign IN or Out Wizard as displayed on the first general tab.

      2. The translations form page allows the user to change the corresponding text in the Sign IN or Out Wizard as displayed on the second general tab.

      3. The translations form page's Site Disclaimer Tab allows the user to change and customise the site disclaimer of the Sign IN or Out Wizard. Note: This page is an optional feature configurable above.

    8. The Eco Time Visitor Management System is now ready to have the kiosks configured. This step is documented here.
